Status:                  Full time; Non-Exempt

Reports to:          President

 

Position Summary: To provide for the positive facilitation and work flow of all associated tasks for the association management division and its’ clients. 

Primary Responsibilities:

  • Manage and complete various administrative tasks associated with division and client work, with particular emphasis on online applications and programs facilitation.

Tasks include, but are not limited to:

    • Manage graphics setup, distribution and tracking of email campaigns, including management of email distribution lists and associated communications
    • Manage setup and process updates to event registration software application(s) and provide attendance, payments and assorted statistical reports
    • Prepare graphics and distribute client certificates and mass letter campaigns using word processing, mail merge and formatting skills
    • Assist with telephone switchboard; screen & forward calls, provide information, manage VM system, take messages and problem-solve
    • Process all client income via credit card, cash and check to prepare for submission through batch and online accounting reports
    • Manage updates to membership database applications and provide statistical reports
    • Collect, sort and distribute division mail, messages and deliveries
    • Prepare shipments for posting and track online for delivery; reconcile invoicing
    • Perform general office duties such as supply ordering and inventory management, distributing electronic receipt of incoming facsimilies, maintenance of general filing systems for hard copy and electronic records, correspondence and other material
  • Communicate information and ideas for the betterment of the division and clients.
  • Assist with sales and special projects as assigned that relate to new business development.

 

Primary Skills required:

  • Fully proficient with online applications, including database, email and registration programs
  • Fully proficient in Microsoft Office Suite, including  Excel, Word, Powerpoint and Publisher; Adobe Reader
  • High level of detail orientation
  • Experience with general graphic design applications and general design templates  
  • Some relevant experience associated with bookkeeping and accounting
  • Excellent organizational and time management skills
  • Aptitude to problem solve and prioritize tasks
  • Excellent communication and comprehension skills (English), including active listening and task ownership for completion
  • Flexibility to work occasional evenings and weekends 
  • Able to lift and move materials associated with division work (up to 25 lbs)

  • Able to adhere to stated policies and procedures relating to health and safety and quality management while working on-site or off-site at client meetings
  • Able to adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility

Experience and Education:

High school diploma (or GED/High School Equivalence Certificate); Over 2 years relevant experience

 

Location:                        Downtown Nashville; business environment

Hours:                            Monday – Friday 9:00am – 6:00pm (1 hr lunch)

Pay rate:                         $12 – 16.00/hr; performance commissions available
